Project & Procurement Coordinator
About the Role
We are looking for a highly organized and proactive Project & Procurement Coordinator to support the implementation of our interior design projects. This role is responsible for managing purchasing, coordinating with suppliers and contractors, tracking orders and deliveries, monitoring project costs, and conducting site inspections to ensure all work is executed in accordance with the approved design and quality standards.
Key Responsibilities
* Manage purchasing, supplier quotations, and purchase orders.
* Coordinate with suppliers, manufacturers, and contractors throughout the procurement process.
* Track orders, production progress, and delivery schedules to ensure projects remain on time.
* Follow up with suppliers to ensure custom furniture and joinery are produced according to approved specifications and agreed timelines.
* Monitor procurement budgets, compare quotations, and maintain accurate purchasing records.
* Conduct site inspections to ensure workmanship, materials, and installations comply with approved design specifications and quality standards.
* Identify and document design-related defects or deviations and coordinate corrective actions with contractors and suppliers.
* Prepare site inspection reports and follow up on outstanding issues.
* Research and source new suppliers, materials, and products.
* Prepare procurement schedules, project documentation, and internal reports.
* Coordinate logistics and deliveries to project sites.
* Support the design team by ensuring purchased items align with approved specifications, budgets, and project timelines.
Requirements
* Fluent in English (spoken and written).
* Arabic is an advantage.
* Previous experience in procurement, project coordination, operations, or the interior design, furniture, or fit-out industry.
* Strong communication, coordination, and negotiation skills.
* Excellent organizational and time management skills with exceptional attention to detail.
* Ability to manage multiple suppliers, orders, and deadlines simultaneously.
* Good understanding of furniture manufacturing, joinery, materials, and construction processes.
* Ability to compare quotations, monitor budgets, and track project costs.
* Ability to identify quality issues and ensure work is carried out according to approved drawings and specifications.
* Proficient in Microsoft Office (Excel, Word, Outlook) and PDF editing tools.
* Valid driving licence and own vehicle (required).
Preferred Qualifications
* Experience working on residential, commercial, or hospitality interior projects.
* Existing network of suppliers and manufacturers in Oman.
* Ability to read interior design drawings, furniture drawings, and shop drawings.
* Strong problem-solving skills with a proactive approach to procurement, supplier coordination, and quality assurance.
